Registered Student Organizations are allowed to rent equipment from the RO Office for fun and exciting events! Contact the office with questions, or read through the information below for everything you need to know! From croquet to walkie talkies, we have everything you need to host.
Organization fund advisory board (OFAB)
OFAB is the party responsible for what supplies, equipment, and items are purchased for use. The board consists of five student RSO treasurers, two faculty/staff members, and two ex-officio members who recommend expenditures that will benefit all student organizations. These investments are purchased with the interest generated by all organization fund accounts with the approval of the Vice Chancellor of Student Affairs.

how to rent equipment
What equipment is available to rent/check out?
The current inventory of items is located in Room 285 in the Illini Union. Because this equipment was purchased using University Fund Accounts of registered student organizations, only RSOs are able to check out this equipment. items available include: tents, tables, heat lamps, sporting equipment, die cut machines, hand truck, butcher paper, cash boxes, extension cords, coolers, white boards, sidewalk chalk, and raffle tickets.
Only authorized agents (president, treasurer, and authorized agents #1-3) may check out equipment on behalf of an organization.
What is the reservation process?
To reserve equipment president, the RSO treasurer or an authorized agent (1, 2 or 3) can come in the day of the event to pick up equipment as long as they have a valid photo ID and must be in good standing with the university (updated roster, positive account balance, and no discipline holds).
If a group wants to reserve equipment in advance, they need to come into the office and ask the student workers to reserve the items for the specified time. The same requirements as stated above apply.
What staff can help me reserve equipment/items?
To reserve equipment, please speak to the Office of Registered Organizations staff located on the second floor of the Union on the quad side in room 284. During the school year, they can come in Monday through Thursday from 9am to 10pm, Friday from 9am to 6pm, Saturday 1pm to 6pm, and on Sunday from 1pm to 10pm.
What if the equipment/items are damaged while in my use?
Equipment that is damaged, broken, or lost will be paid for by the RSO who damaged or lost the equipment. The item need to be returned by the end of the day it was checked out. In order to have equipment for more than one day, RSOs must contact the chief clerk, and then a check on the group's record will determine if they are allowed an extension.
If the organization doesn’t return the equipment back before the deadline, we will then contact them and tell them they have 24 hours to return the equipment. If they still don’t meet the deadline, the group will be charged a minimum fee of $25.
Are there any instances/places where I cannot use the equipment/items?
Equipment is to be used on the Quad, but with special arrangements, groups can take the equipment elsewhere. The only equipment that can’t be used on the Quad is equipment that requires being anchored to the ground. These items will need to be used on the south Quad.
There is also equipment purchased by OFAB that is checked out through Multimedia services such as projectors that are allowed to be utilized both on and off campus.
The ReSOurce Center is NO LONGER in the Office of Registered Organizations and is NOW with Document Services.
Document Services offers printing services and rental services of various items. For our printing services, they offer printing in both black and white and color, printing in 20 different colors of various sizes from 8.5” x 11” to 11” x 17.” They also offer stapling, hole punching, double sides printing, as well as accommodations for booklet, posters, invites and pamphlet printing. Document Services also has an online feature that is open 24 hours a day.

LCD Projectors and Laptops
Our office also has laptops and LCD projectors available for checkout to registered student organizations free of charge. This equipment can be accessed via Event Services, 129 Illini Union. Reservations can be made by stopping by their office or calling 217.333.0691. Please note Event Services is not open on Saturday or Sunday.
