Registration Procedures
For the past several years, there have been more than 800 Registered Organizations on campus. These organizations provide opportunities for their members to broaden their experiences beyond the classroom, lecture hall and laboratory – opportunities for leadership, teamwork, and carrying out innovative ideas for making a difference on campus are limitless, given the variety and number of organizations represented. All organizations meeting the registration requirements are accepted.
Requirements For Registration
- Any group of two or more people.
- Membership is restricted to currently registered University of Illinois students, faculty, staff and their spouses. Authorized agents must be students, faculty, or staff.
- Any group composed primarily of university affiliated members but who also have active members not affiliated with UIUC, may register as a Campus-Community group in the Office of Facility Management and Scheduling, 320 Illini Union Bookstore Building, 333-1230.
- The organization is in full compliance with all federal and state nondiscrimination and equal opportunity laws, orders and regulations.
- E. In addition, registered organizations shall not practice discrimination against a member or prospective member on the basis of race, color, religion, sex, sexual orientation, national origin, ancestry, political affiliation, age, marital status, handicap, unfavorable discharge from the military or status as a disabled veteran or veteran of the Vietnam era, except as specifically exempted by law.
- The name of the organization should:
- Not be in conflict with an existing Registered Organization.
- Not be the same as a nationally registered organization or society unless it is a local chapter of that organization.
- Not be an acronym only. The entire name of the organization must be written out.
- Not include the words "University," "University of Illinois," or any abbreviations thereof except in the form "at the University of Illinois at Urbana-Champaign" which may follow the organization's particular name.
- Be in good taste.
Procedures for Registration
- Online Registration
The Office of Registered Organizations has implemented a new online database for our Registered Organizations, Collegiate Link. Ideally, we’d like registered organizations to register on Collegiate Link by October 1st, 2009 because we are using a new system. Due to some implementation issues, organizations applying for SORF in the fall semester must be registered on the Illini Union database (the “old” system) and Collegiate Link (the “new system.) For that reason, instructions on how to register on both systems will remain on this website.
We understand this is frustrating for organizations. Our staff members are more than willing to help you through the process!
- For all organizations—registration on Collegiate Link:
- Log into CollegiateLink using your NetID and AD password. DO NOT use your email address, just your NetID. NOTE: The president must re-register the organization.
- On the Home page, select the News Article "Re-registration process for existing registered organizations."

- Within the grey box of the article, select “Choose your organization,” located in the lower left corner of the box. NOTE: It may take 3-5 minutes to load the organizations.
- d) In the Organization box located in the Select Organization section of the webpage, select the organization you would like to re-register by clicking on the drop down arrow and scrolling through the list.
- Select "Start" after you found and selected your organization.
- A new page opens providing a list of instructions. Read through the instructions. When finished, select "Continue."
- Step 1 - By re-registering this organization, you will become the Primary Contact of the organization.
- Select "Continue" to complete Step 1.
- Step 2 – Enter your contact information and check that the organization information is up to date.
- Click "Save" to save the information you entered and to complete Step 2.
- Step 3 – Update your organization roster by adding your treasurer and up to THREE Authorized Agents to the roster. NOTE: All contacts MUST USE their @illinois.edu account.
- To designate each agent, select their Position title from the drop down list.
- Clear each field to continue adding agents.
- Once finished, select "Continue" to complete Step 3.
- Step 4 – Read through and respond to the Nondiscrimination Form.
- Once finished, select “Submit” to complete Step 4.
- Step 5 – Read through the completed information of your organization.
- If you would like to make changes to your organization information, select the “Edit Step” icon on the left of the grey box.
- Select "Finish" to submit your organization re-registration request.
- You will receive notification that your organization is waiting for approval.
- For organizations applying for SORF in the fall semester—registration on the Illini Union database:
- To submit an application for registered organization status, please visit the Office of Registered Organizations Web page: https://www.union.illinois.edu/iurso/sign-in.aspx
- The new president should initiate the process. The first step is for that person to add themselves as the database as president:
Once you have logged in, the RSO database will indicate that you are "Not the Confirmed President of any Organization." Continue with these steps:
- Select “MY ACCOUNT” from the Quick Links menu bar;
- Confirm your Name and NetID are accurate;
- Submit the “INSERT PROFILE” button.
- Submit the “UPDATE PROFILE” button.
Once that is completed, please email the RSO Office the following information:
- Email IURSO@ILLINOIS.EDU
- Provide: the President’s Name and NetID
- Provide: the RSO Name (full name – no acronyms or abbreviations)
- The RSO Office will utilize the submitted email and reset the RSO database with you assigned as president. Then, the RSO Office will email you the outline on how to complete the RSO registration process.
- Access your UIUC email account, as indicated by the authorized agents NetID, for a message from the Office of Registered Organizations verifying that you are an authorized agent as indicated on your registration form.
- The Office of Registered Organizations will review all completed applications.
Additional registration information for all organizations:
- The president and treasurer must be indicated on the submitted online registration form. In addition, the organization may select a third authorized agent. These individuals whose signatures appear on the registration form become the group's "authorized agents," and one of them is required to sign any requests for services, purchases or space from the university. These signatures are checked against the original application forms to confirm validity.
- If the organization has or requests an Organization Fund account, it must have a treasurer. If the organization is new, an Organization Fund account number will be assigned as soon as the treasurer has attended the mandatory Treasurers Workshop.
- Registration is valid from September 15 of one year to September 15 of the following year. New forms must be filed, however, whenever a new authorized agent is selected for the organization.
- Although advisers are not required for Registered Organization status, organizations are encouraged to utilize faculty or staff as advisers. Advisers also may be from outside the university community. However, only advisers who are affiliated with the University of Illinois may sign documents or requests on behalf of the organization if they are identified as an authorized agent.
- Requests for funds from SORF will not be accepted from organizations that are not registered at the time the applications for funds are due. SORF applications are only accepted from Registered Student Organizations.
- Registrations may be submitted throughout the academic year. Organizations that have not pre-registered by the September 15 date forfeit their registration status with the university and will have their Web pages removed from the UIUC server. When an organization is registered, it may access its Web page. New organizations will be allocated space on the UIUC server to build a Web page when they are registered.
