Introduction

The Office of Registered Organizations has worked collaboratively with the Office of Web Services and CITES to provide continuous support for Registered Organizations. Paramount to this partnership is the implementation of a timely and relevant infrastructure for WWW-based developed by the Registered Organizations.

All Registered Organization’s UIUC websites designed through the www.uiuc.edu/ro domain are managed through CITES NetFiles. NetFiles will provide users with enhanced resources for web management and development, allowing for greater flexibility and ease of managing these webpages.

All Registered Organizations are established with the President’s NetID. At that time, CITES creates a NetFiles account and allocates web space for an organization’s website – whether the organization needs to build a new website or edit an existing one. Each NetFiles account has a default quota of 500 MB.

The President is assigned initial permission to access the RO website. The President has the capacity to assign other individuals who are granted access to the website for design/edit/update purposes.

Login to NetFiles & access the RO directory

  1. Log into NetFiles using your NetID and Active Directory (AD) password: www.cites.uiuc.edu/netfiles
  2. At top right of the NetFiles screen – just before the SEARCH field – select the “STAR” icon (it includes a minimized plus “+” symbol) --- (if your mouse scrolls over the icon, it should note as the "New Bookmark" icon)
  3. Once the Bookmark Popup appears, create a “Bookmark Name” for the Organization file (i.e. a bookmark name is an acronym/abbreviation for the Registered Organization)
  4. In the “Full Path” field, enter: /ro/www/MyRSONameWithoutSpaces
  5. Select "OK" to save changees.
The "FULL PATH" includes /ro/www and is followed by the organization's full/formal name, exactly as registered with the Office of Registered Organizations (with correct capitalization) minus any "spaces" between words. To confirm the full/formal name of the RO, please visit the alpha listing available online: http://www.union.illinois.edu/involvement/rso/a-z_list.aspx.

By adding a bookmark, the directory for the RO website will be automatically added to your menu bar. And now, every time you login to NetFiles, you will be able to access the Registered Organization NetFiles Directory by simply selecting the “STAR” icon at the top left of the NetFiles screen (just to the left of your NetID in the directory field). If your mouse scrolls over this icon, it should note as “Bookmarks and Saved Searches.” And then select the bookmark name for your RSO and you will be able to login into that specific account.

Assign others to manage your website

Once you have logged in to the RSO NetFiles account, you can assign permission for other users to access the account as webmaster. These individuals would have permission to read/write/delete/administer the account.

Assign permission for other users to manage the NetFiles directory

Once you have logged in and accessed the Organization’s NetFiles directory account:

  1. At top right of the NetFiles screen – just before the SEARCH field – select the “GEAR” icon (if your mouse scrolls over the icon, it should note as the "manage and edit" icon)
  2. Select “PERMISSIONS” from the left hand options field;
  3. Review the summary of individuals currently assigned permissions;
  4. Select “ADD USER/GROUP” from the header;
  5. In the text box, enter the NetID of the new individual who should receive access privileges;
  6. When the individual’s name appears, select their name and it will populate in the text box;
  7. Select “NEXT”;
  8. Assign the appropriate permissions: Viewer/Contributor/FullAccess;
  9. Select “FINISH”;
  10. Review to ensure their permissions are appropriate;
  11. Select “APPLY”;
  12. Select “Apply the changed permissions to this folder as well as its sub-folders and files.”
  13. Select “APPLY”;
  14. EXIT.
